While many locations offer full-day rentals, you can typically end up with a cheaper price with by-the-hour rentals. Full-day rentals can range from $400-$700 for smaller rooms, and up to $1,500 for larger ones. These prices are also heavily reliant on the necessary technology for your event (WIFI, projectors, speakers, and microphones), service fees, on-site tech support, parking costs, any catering and/or refreshments, and the duration of your meeting. The size of your event, however, is the largest cost factor, and spaces that accommodate over 100 individuals can have rates that go up to, and sometimes over $300/hour.

Before booking a conference rental space there are many factors you must consider. The capacity of your event and the venue size required to meet it is the most important. You should also consider the venue’s location and how this might impact travel, parking, and public transportation. If the event is longer than a day, nearby accommodations, restaurants, and attractions should be considered. The atmosphere of the conference space also matters. Consider whether it will be comfortable and if there are areas in which your attendees can mingle and network. Lastly, you want to factor in your technology needs and whether the venue can meet them.
